Sync is not a backup

iCloud sync keeps your devices matching each other, which is a different job from keeping your history safe. If you delete a client or clear the app, sync copies that to every device just as faithfully as it copies your good work. Run Settings → Purchases & data → Back up all data from time to time and keep the file somewhere other than the phone. That archive is the only thing that can bring back something you did not mean to lose.

Yes. Tradie Mate is on the App Store now for iPhone, running iOS 17 or later. It is free to download, and free to use up to the limits below; Tradie Mate Pro is AU$9.99 a month or AU$99.99 a year, with the first month free.

Only for iCloud sync. Quoting, invoicing, PDF generation, reminders, transcription, and reports all run on your iPhone, so you can work through a day with no signal and everything catches up later.

Yes, through your own iCloud account. There is no switch inside the app: if you are signed in to iCloud and it is enabled for Tradie Mate, your records sync. Settings shows you what is actually happening rather than assuming — if there is no iCloud account on the device it will tell you the data is local only.

Check that you are signed in to iCloud in the iOS Settings app, that iCloud Drive is on, and that Tradie Mate is allowed to use it. Then reopen Settings in the app — it re-checks each time you open it. Nothing is lost while sync is off; the records sit on the device and go up once the account is available.

Yes. Sync is not a backup — it copies deletions and mistakes to your other devices just as faithfully as it copies good work. Settings → Purchases & data → Back up all data gives you a point-in-time archive you control. Keep it somewhere other than the phone.

If iCloud sync is on, sign in to the same Apple ID on the new phone and your records arrive on their own. Otherwise use Settings → Purchases & data → Back up all data on the old phone, then Restore from backup on the new one. Restoring replaces everything currently in the app, and the app asks you to confirm that twice.

Everything — clients, quotes, invoices, projects and your business profile — and if iCloud sync is on it deletes them on every device signed in to that account, not just the one in your hand. The app says which of those applies before you confirm. It cannot be undone.

Open Settings → Business and fill in your business name, ABN, and whether you are registered for GST. Then Settings → Bank details for account name, BSB, account number, PayID, and an optional payment link. Those fields flow through to every quote and invoice PDF.

Yes. Settings → Documents lets you set an invoice prefix and a quote prefix, defaulting to INV and QUO, plus the payment terms you use most often. Numbering then continues in sequence from there.

Void it rather than deleting it. Voiding keeps the invoice and its number in your records, which is what you want if anyone ever asks why a number is missing from the sequence.

Yes. In Clients, choose Import from Contacts and pick who you want; the app creates client records locally from the ones you select. CSV import is also supported for lists you keep in a spreadsheet.

Settings → Purchases & data → Export all data produces a single file containing your quote and invoice PDFs plus CSV records, shared through the standard iOS share sheet. Individual quotes and invoices can also be exported as PDFs on their own.

Free gives you unlimited clients, plus up to 20 quotes still in play and 20 invoices still owing at any one time. It is a limit on how many are open, not how many you create — accepting a quote or getting an invoice paid frees the slot again, so a busy month does not lock you out. Pro removes both limits and adds automatic follow-up reminders, retention and progress claims, recurring invoices, reports and CSV export, AI estimates and dictation, automatic on-site timing, and it takes the Tradie Mate line off the invoices your clients see. Pro is AU$9.99 a month or AU$99.99 a year — a 17% saving — and the first month is free.

Cancel in the iOS Settings app under your Apple ID → Subscriptions. To restore on another device, use Settings → Purchases & data → Restore purchases signed in with the same Apple ID. Restoring recovers your subscription, not your job data — that comes from iCloud sync or a backup file.

No, and deliberately so. Tradie Mate schedules a reminder on your phone when a quote has gone quiet or an invoice is overdue, and pre-fills the message. You read it and press send yourself, through email, SMS, or the share sheet. Nothing goes out without you.

A 1-100 summary of how that client has paid you in the past — on-time ratio, how much is currently overdue, and average days to pay. It is worked out on your device from your own invoices with a fixed formula. It is not a credit check, it uses no outside database, and neither the client nor we ever see it.

Two optional features use it. "While Using" tags a job photo with where it was taken and sets a job site location. "Always" is only needed if you turn on automatic time tracking, which asks iOS to watch a 120-metre boundary around a site so the timer starts and stops as you arrive and leave. Decline either one and only that feature stops working.

Yes. Settings → Language → App language offers System, 中文, and English. Anything a client sees — invoices, quotes, follow-up messages and record exports — stays in English regardless, so your paperwork remains valid for Australian clients. Work descriptions you dictate are translated to English for you.

Voice notes stay on your device. Transcription runs locally, and if your device cannot handle that language on-device the app skips transcription rather than sending the audio to Apple. The same goes for translation, photo tagging, and estimate suggestions — all on the phone.

Email us. Tell us what you did, what you expected, and what happened instead, and include your iOS version and the app version from Settings → About if the app misbehaved. We read every one.
